Getting started
A step-by-step checklist for setting up a new company.
2. Getting started
A new company shows a getting-started checklist on the Admin and home pages. It has six steps, each with a link; a step is ticked automatically when it is done, and the checklist disappears when every step is complete. Click Dismiss to hide it sooner.
| Step | Where | Marked done when | |---|---|---| | Company info | Admin › Company › Company info | The company details have been saved during setup | | Connect QuickBooks | Admin › Integrations › QuickBooks | QuickBooks Online is connected | | Connect ShipStation | Admin › Integrations › ShipStation | ShipStation is connected with your own API key | | Connect card processor | Admin › Integrations › Authorize.Net or PayPal | A card processor connection exists | | Add users | Admin › Users & Security › Users | The company has more than one user | | Import items and customers | Admin › Data › Import | At least one item or customer exists |
Recommended order
- Company info: name, address, phone, time zone, fiscal year, base currency, and logo (chapter 3).
- Preferences: read through Sales, Inventory, Warehouse, Receiving, and Document numbering, and change what does not suit you (chapter 3).
- Lists: item groups, units of measure, terms (note the naming rule for COD and Net terms), ship via methods, payment methods, tax codes, and locations and bins (chapter 5).
- Roles, then users: adjust or copy roles first, then add users or send invites, and set a sign-in requirement for administrators (chapter 4).
- QuickBooks: connect, agree the default accounts with your accountant, choose posting options, and run the first-time import (chapter 11).
- Shipping and cards: connect ShipStation and a card processor, starting in sandbox (chapter 6).
- Import: items, then customers and vendors, then serials (chapter 9).
- Templates and email: adjust the invoice form, set up the sending domain and email templates (chapters 6 and 7).
- Alerts: add a few alerts your team needs (chapter 8).
- Web stores: connect stores last, once items and tax are right (chapter 6).
Tip: before importing or connecting a store, enter one test order end to end (quote, sales order, ship doc, payment) and check it in QuickBooks. It is much easier to adjust settings before there is a lot of data.
Documents, customers, and lists
Billing
Chooses who the carrier bills for this shipment. Prepaid bills your company. Collect bills the customer's carrier account. Third party bills another account. The carrier cost is stored and is not added to the order when the shipment is collect or third party.
- Example: Collect, UPS account ending 1234, ZIP 33101.
Additional fees
Extra charges on a sales order, such as rush or handling. Pick a fee type or add one, then enter a fixed amount or a percent of the goods. Fees are not taxed unless you change that on the order.
- Example: Rush fee, $15.
Line columns
The gear on a document line grid chooses which columns you see and in what order. Your choice is saved for you. Set company default makes it the starting layout for everyone.
- Example: Show Extended and hide Bin on the sales order.
Customer tabs
The tabs on a customer: profile, contacts, addresses, orders, and the other records linked to that customer. Open a tab to work on that part of the customer without leaving the page.
- Example: Orders, to see this customer's sales orders.
Default shipping type
The shipping type a new sales order uses for this customer. Prepaid bills your company. Collect and third party bill a carrier account you store here. Lists show the last four digits of the account.
- Example: Collect, with a UPS account for the dock address.
Recipients
Who receives this document. Check To or CC on a contact, or type other addresses. Save as new contact keeps an address you typed on the customer or vendor.
- Example: To the buyer's email, CC accounts payable.
Subject
The subject line of the email. It starts from the document's email template and you can change it before sending.
- Example: Sales order SO-1027 from E & D Trading.
Message
The message in the email. It starts from the template. The PDF is attached when you send.
- Example: A short note that the order is confirmed.
